Booking fee and deposit

• You set your own booking fee. This is shown to the client and is paid up front as a deposit.
• The deposit is applied to the client’s total at checkout after the service is completed.
• You are paid your full service rate.
• Service Fox retains a booking fee that corresponds to client acquisition for that new client.
Note. Your earlier notes included a variant where the deposit is refunded to the client after the service. If you prefer that method, we can configure it, and the example math below would change accordingly.

Step by step process

1. Client request The client speaks or types a request such as find me a hair stylist for blonde highlights this Friday afternoon near downtown. The request can originate on ChatGPT, Google, Alexa, or the Service Fox platform.
2. Request normalization Service Fox interprets the request, maps it to exact services in our catalog, extracts location and timing preferences, and checks for any constraints such as price sensitivity.
3. Professional matching The Multi Channel Processing Layer queries professional profiles and calendars. It filters for the right service, service duration, travel radius or service area, and only those with open slots that fit the requested window.
4. Ranking and relevance Qualified professionals are ranked using signals such as proximity, availability fit, rating quality, response performance, and booking fee competitiveness. The goal is to balance client relevance with fair opportunity for professionals.
5. Shortlist presentation The client sees a shortlist. Each card shows your name, service summary, price, earliest available times, rating, and the booking fee deposit required to secure a spot.
6. Client selection The client taps a professional and chooses a specific time. If multiple times work, the system highlights the best fit based on your actual calendar
7. Deposit collection The client pays the deposit through Service Fox. Payment is authorized and captured immediately to ensure commitment and reduce no shows.
8. Confirmation and calendar sync The booking is confirmed automatically. Full appointment details are delivered to you, and the time is added to your calendar in real time. Any double booking risk is prevented by calendar locking during checkout.
9. Pre appointment messaging Service Fox sends confirmation, directions, prep instructions, and reminders to the client. If the client needs to reschedule within your policy, the system handles it and keeps your calendar accurate.
10. Service completion and final payment After the appointment, the client pays the remaining balance to you. The deposit that was paid earlier is applied to the client’s total. You receive your full rate for the service. Service Fox retains the booking fee associated with the new client acquisition.
11. Review and quality signals The client is prompted to leave a review. High satisfaction improves your ranking signals for future matching. You can reply to reviews to maintain a professional presence.
12. Reporting and insights Inside your Service Fox dashboard, you will see new client volume from Search Booking, conversion rates by booking fee level, no show rates, and suggested tuning to improve your results.
